Administrative Assistant

Salary Rate: Hourly
Salary Range: $23.00 /hour depending on experience

15 hours/week as directed by pastoral team

Responsibilities include:

  • Managing pastoral staff calendar and acting as the first point of contact for the church.

  • Preparing correspondence, memos, minutes, and reports of a confidential or strategic nature from dictated shorthand notes or handwritten material.

  • Composing moderately complex letters, memorandums, and reports.

  • Receiving and screening information, visitors, and telephone calls, using good judgment and sensitivity to the priorities of the pastoral staff. Providing information and referring visitors to other appropriate individuals if matters can be handled elsewhere

  • Determining what information is sensitive and informing the pastoral staff accordingly.

  • Developing administration procedures and processes to respond to the operating style of the pastoral staff.

  • Ensuring all correspondence is mailed/delivered in a timely manner.

  • Ensuring all mail is distributed and/or opened and reviewed in a timely manner.

  • Maintaining office equipment and supplies, including ordering, equipment repairs, stationery, etc.

  • Managing the lost & found center with assistance from the church custodian and head deacon

  • Maintaining an inventory of keys and persons authorized to have keys.

  • Maintain a daily log of activities within the church.

  • Meet and greet visitors to the church.

  • Organize files and maintain board minutes and other items pertaining to the church board.

  • Keep records of members' transfers, incoming and outgoing.

  • First line assistance in maintaining office equipment

  • Collaborating with pastors and church clerks in preparing and publishing the weekly church bulletin.

  • Any other responsibilities that may be deemed necessary by the pastoral staff.

  • Occasional assistance to department heads at the discretion of the senior pastor.


  • (Minimum) Secondary School diploma.

  • Certificate or diploma in office administration or equivalent is preferred.

  • Prior secretarial and office administration experience is required.

  • Strong communication and interpersonal skills, both verbal and written, to interact with a wide range of individuals
    in a wide range of situations, which often require tact, diplomacy, confidentiality, and discretion.

  • Advanced proficiency level with MS Word, PowerPoint, Excel, spreadsheet, and Outlook.

  • Strong organizational and time management skills.

  • Demonstrated ability to work independently and as part of a team.

  • Meticulous attention to detail.

  • Ability to adapt quickly to new situations or challenges.

  • Ability to deal effectively with sensitive and complex issues combined with the ability to remain objective and calm
    in situations.

  • Willingness to learn new skills
